Participant Activities menu

The Participant Activities menu provides access to functions that apply to the current client. If a sub-menu is available when hovering over or selecting a menu option, the sub-menu will automatically expand.

The Participant Activities menu is visible and enabled when:

It has a mnemonic of "P".

If you do not have sufficient permission to access a menu option on the Participant Activities menu, a standard error message (E0006) displays when the menu option is selected.

Menu Elements

Unless otherwise stated below, all menu options on the Participant Activities menu are visible and enabled when:

If one or more special conditions exist that affect a menu option on the Participant Activities menu, the condition(s) are documented for that specific menu option below.

Toggle On-site menu option

Select this menu option to mark the client on-site or off-site.

It has a mnemonic of "T".

The Toggle On-site screen displays when the menu option is selected.

Schedule Appointment menu option

Select this menu option to schedule an appointment for the client.

It has a mnemonic of "A".

The Select Appointment to Schedule screen displays when the menu option is selected.

Print Participant Appointment Schedule menu option

Select this menu option to generate a report of the client's scheduled appointments.

The Generate Participant Appointment Schedule screen displays when selected.

Breastfeeding menu option

Point to or select this menu option to display the Breastfeeding sub-menu.

It has a mnemonic of "B".

When you point to or select this menu option, the Breastfeeding sub-menu and the following sub-menu options are displayed:

Item Issuance History sub-menu option

Select this sub-menu option to view the history of breastfeeding-related items issued to the client. The sub-menu option is enabled when the sub-menu is active.

It has a mnemonic of "H".

Upon selection of the sub-menu option, a check is performed to determine whether the logged-on user has the appropriate permissions to view the screen. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The Breastfeeding Item Issuance History screen displays when selected if the user has the appropriate permissions and all edits are satisfied.

Issue Breastfeeding Items sub-menu option

Select this sub-menu option to issue breastfeeding-related items to the client. The sub-menu option is enabled when the sub-menu is active.

It has a mnemonic of "B".

Upon selection of the sub-menu option, a check is performed to determine whether the logged-on user has the appropriate permissions to view the screen. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The Issue Breastfeeding Items screen displays when selected if the user has the appropriate permissions and all edits are satisfied.

Peer Counselor Contacts sub-menu option

Select this sub-menu option to record peer-counselor contacts for the client. The sub-menu option is enabled when the sub-menu is active.

It has a mnemonic of "R".

Upon selection of the sub-menu option, a check is performed to determine whether the logged-on user has the appropriate permissions to view the screen. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The Breastfeeding Peer Counselor Contacts screen displays when selected if the user has the appropriate permissions and all edits are satisfied.

Change Household ID menu option

Select this menu option to change the client's household ID.

It has a mnemonic of "H".

When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The information on the screen is saved when all edits are satisfied and the Change Household ID screen displays for EBT-disabled system or the EBT Household Change Guided Script screen for EBT-enabled system when selected.

Review CPA-determined Follow-up Information menu option

Select this menu option to manage follow-up information for the client.

The menu option is enabled when:

When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to view the screen. When the user does not have the appropriate permissions, the system displays the E0006 standard error message.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The information on the screen is saved when all edits are satisfied and the CPA-determined Follow-up screen displays when the menu option is selected.

Generate Official Notification menu option

Select this menu option to generate an official notification of termination for the client.

It has a mnemonic of "G".

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

If a Categorical Ineligibility Date is not on record, the system displays the E0355 standard error message.

The information on the screen is saved when all edits are satisfied and the Generate Official Notification screen displays when the menu option is selected.

Generate Notice to PBF Mom menu option

Select this menu option to generate a notice for partially breastfeeding mothers for the client.

The menu option is enabled when:

An official notification document for Partially Breastfeeding Greater than the Max is generated when the menu option is selected.

It does not have a mnemonic.

Manually Terminate Participant menu option

Select this menu option to terminate the client's participation in the local WIC program.

The menu option is enabled when:

It has a mnemonic of "M".

When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The information on the screen is saved when all edits are satisfied and the Manually Terminate Participant screen displays when the menu option is selected.

Reinstate Terminated Participant menu option

Select this menu option to reinstate the client's participation in the local WIC program.

The menu option is enabled when:

It has a mnemonic of "S".

When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

A standard error message will alert the user to reinstate the participant before resolving a pending EBT issuance.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The information on the screen is saved when all edits are satisfied and the Reinstate Terminated Participant screen displays when the menu option is selected.

Produce VOC Document menu option

Select this menu option to generate a Verification of Certification (VOC) document for the client.

When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.

The VOC_ALLOWED business rule allows the state to define how many Verification of Certification (VOC) documents can be printed for a participant during the current or most recent certification period. When the user attempts to produce the Verification of Certification (VOC)document, the participant information is checked to determine if a Verification of Certification (VOC)document has already been produced for the participant. If only one (1) document is allowed by the business rule settings and a Verification of Certification (VOC)document has already been produced, the system displays the E0072 standard error message.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

Per the business rule VOC_TRACKPRINT, when a VOC is printed an auto generated note is added to the participant folder to log the date, report, and who printed the VOC.

The information on the screen is saved when all edits are satisfied and the Produce VOC Document screen displays when the menu option is selected.

Work with Another Household Member menu option

Select this menu option to open a Participant Folder for a member of the client's household.

When the menu option is selected, a check is performed to determine whether there are additional household members. If there are no other household members associated with the selected participant's household ID, the system displays the E0044 standard error message. Upon dismissing the standard error message, the user is returned to the participant's folder.

The information on the screen is saved when all edits are satisfied, and, if additional members are found with the associated household ID, the Work with Another Household Member screen displays when the menu option is selected.

It has a mnemonic of "W".

Manage Notes menu option

Select this menu option to manage notes for the client.

The Manage Notes screen displays when the menu option is selected.

It has a mnemonic of "N".

Manage Alerts menu option

Select this menu option to manage alerts for the client and members for the client's household.

The Manage Alerts screen displays when the menu option is selected.

It has a mnemonic of "L".

Print Participant Summary menu option

Select this menu option to generate a Participant Summary report for the client.

When the menu option is selected, if the participant does not have certification information, the system displays the E0027 standard error message.

The Produce Participant Summary screen displays when selected if the participant has certification information.

Note

NOTE: A Participant Summary report can only be generated for a client who has been certified for participation in the local WIC program.

It has a mnemonic of "R".

Close Participant Folder menu option

Select this menu option to close the client's Participant Folder.

The Participant List screen displays when selected.

It has a mnemonic of "C".
