Participant Folder toolbar

The Participant Folder toolbar provides access to frequently used functions on the Participant Folder screen. The toolbar is visible when the Participant Folder screen is active. Depending on your permission level and the client's current status, some toolbar buttons may not be available for selection.

Participant Folder toolbar

Toolbar Elements

Participant Search

Participant Search

Click this toolbar button to search for clients on the Participant List screen. The toolbar button is enabled when the screen is active. It has a tool tip text of "Participant Search". The Participant List screen displays when the button is clicked.

Manage Waiting List

Manage Waiting List

Click this toolbar button to manage the applicants currently on the waiting list. The toolbar button is enabled when the screen is active. It has a tool tip text of "Manage Waiting List".

When the toolbar button is clicked, a check is performed to determine the permissions of the logged-on user. If the user does not have the appropriate permissions (WaitingList.View, Add or FullControl) to view the Waiting List, the system displays the E0006 standard error message.

The Manage Waiting List screen displays when clicked if the user has the appropriate permissions.

System Outputs

System Outputs

Click the down arrow on this toolbar button to access system outputs functions. The toolbar button is enabled when the screen is active. It has a tool tip text of "System Outputs". When you click the down arrow, the System Outputs menu and the following menu options are displayed:

Documents

Click this menu option to generate documents. The menu option is enabled when the System Outputs menu is active. The mnemonic for the menu option is "D". The Generate Documents screen displays when selected.

Labels

Click this menu option to generate address labels. The menu option is enabled when the System Outputs menu is active. The mnemonic for the menu option is "L". The Generate Labels screen displays when selected.

Reports

Click this menu option to generate reports. The menu option is enabled when the System Outputs menu is active. The mnemonic for the menu option is "R". The Generate Reports screen displays when selected.

System Tools

System Tools

Click the down arrow on this toolbar button to access system tools functions. The toolbar button is enabled when screen is active. It has a tool tip text of "System Tools". When you click the down arrow, the System Tools menu and the following menu options are displayed:

Clear On-site List

Click this menu option to clear the list of clients currently marked as on-site via the Toggle On-site screen. The menu option is enabled when the System Tools menu is active. The mnemonic for the menu option is "O".

When the Clear On-site List menu option is selected, a check is performed to determine the permissions of the logged-on user. If the user does not have the appropriate permissions (On-Site Group.FullControl) to clear the on-site list, the system displays the E0006 standard error message.

The system clears the on-site list when selected if participants when selected if the user has the appropriate permissions by deleting the Member.OnPremisesTime for the selected AgencyID and ServiceSiteID.

Change Password

Click this menu option to change the password of the logged on user. The menu option is enabled when the System Tools menu is active. The mnemonic for the menu option is "P". The Change Password screen displays when the menu option is selected.

Select Clinic

Click this menu option to specify the clinic of operation. The menu option is enabled when the System Tools menu is active. The mnemonic for the menu option is "C". The Change Clinic of Operation screen displays when the button is clicked.

Select Default Printers

Click this menu option to specify the default printers for the logged on user. The menu option is enabled when the System Tools menu is active. The mnemonic for the menu option is "D". The Default Printers screen displays when the menu option is selected.

Unlock Locked Household

Click this menu option to unlock locked participant records. The menu option is enabled when the System Tools menu is active. The Unlock Locked Household screen displays when the button is clicked.

Note

NOTE: Households locked in the Clinic application module outside of batch processes cannot be released by the unlock feature on the Batch Issue History screen. These households must be unlocked using the Unlock Locked Household screen accessed from the Participant List screen or from within the Participant Folder.

Participant records locked by batch processes can be unlocked on either the Batch Issue History screen or the Unlock Locked Household screen accessed from the Participant List screen or from within the Participant Folder.

Toggle Applicant/Participant On-site

Toggle On-site

Click this toolbar button to mark the client currently selected in the Participant List data grid on-site or off-site. The toolbar button is enabled when the On-site, Clinic, or Appointments for Today view of the screen is displayed and a record is selected in the Participant List data grid. It has a tool tip text of "Toggle On-site".

When the toolbar button is clicked, a check is performed to determine the permissions of the logged-on user. If the user does not have the appropriate permissions (OnSiteGroup.Add or FullControl) to toggle a participant on-site, the system displays the E0006 standard error message.

The Toggle On-site screen displays when clicked if the user has the appropriate permissions.

Schedule Appointment

Schedule Appointment

Click this toolbar button to schedule an appointment for the client currently selected in the Participant List data grid. The toolbar button is enabled when the On-site or Clinic view of the screen is displayed and a record is selected in the Participant List data grid. It has a tool tip text of "Schedule Appointment".

When the toolbar button is clicked, if the user does not have the appropriate permissions (Appointments.Add or FullControl), the system displays the E0006 standard error message.

The Select Appointment to Schedule screen displays when clicked if the user has the appropriate permissions.

Manage Alerts

Manage Alerts

Click this toolbar button to add, edit, or view the alerts for the current client. The toolbar button is enabled when the screen is active. It has a tool tip text of "Manage Alerts".

The Manage Alerts screen displays when clicked if the user has the appropriate permissions.

Manage Notes

Manage Notes

Click this toolbar button to add, edit, or view the notes for the current client. The toolbar button is enabled when the screen is active. It has a tool tip text of "Manage Notes".

The Manage Notes screen displays when clicked if the user has the appropriate permissions.

Certification

Certification

Click this toolbar button to start or continue a certification attempt for the current client. The toolbar button is enabled when the screen active. It has tool tip text of "Certification".

When the toolbar button is selected, if the user does not have the appropriate permissions (Certification.FullControl), the system displays the E0006 standard error message.

The control is enabled when:

  • The control is disabled when the certification start date equals the current system date.

AND

  • The availability of this control is determined by the value of a business rule. Values of business rules are defined for your program by the State Office.

  • The value of the CLN_INFANTRECERTBEFORE1STBIRTHDAY business rule = "Y" and the following conditions exist:

  • If it is between 30-45 days before the infant's certification end date. A certification attempt can be started as long as the certification end date is within 45 days.

  • If the infant's birthday is within 30 days. The length of time allowed for recertification is controlled by the value of the CLN_INFANTCERTLENGTH business rule.

For participants within a valid certification period, a check is performed to determine whether the current system date is within 45 days inclusive of the end of the current certification for the participant. When the current system date is not within 45 days of the end of the current certification for the participant, and the participant is an infant or child, the system displays the E0073 standard error message.

When the participant is ineligible for certification, the system displays the E0074 standard error message. This standard error message only displays if the participant's most current certification was marked as ineligible and the certification ineligibility date is not less than the current system date.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are also performed. These edits are defined in the respective sections for each screen.

When a certification attempt has not previously been started for the participant, the system displays the C0017 standard confirmation message. Yes and No buttons are available. Click the No button to return to the Participant Folder. Click the Yes button to continue the certification process. The Certification Guided Script screen is displayed.

Depending on the participant's WIC category and certification status, either the Certification WIC Category screen or the Certification Guided Script screen displays when clicked if the user has the appropriate permissions and all edits are satisfied.

Issue Benefits

Issue Benefits

Click this toolbar button to issue food instrument benefits for the current client and members of the client's household. The toolbar button is enabled when the screen is active and the participant is in a valid certification period. It has a tool tip text of "Issue Benefits".

When the toolbar button is clicked, if the user does not have the appropriate permissions (CheckIssuance.Add or.FullControl), the system displays the E0006 standard error message.

Depending on the screen of the Participant Folder selected, the required entry edits and cross-edits for the controls on the screen are also performed. These edits are defined in the respective sections for each screen.

If the DSPCHILDRENUNDER5CHECKSNOTELIGIBLEMSGS business rule is "Y", the I0010 standard information message is only displayed for children under the age of five (5) who are not eligible to receive benefits.

If the DSPCHILDRENUNDER5CHECKSNOTELIGIBLEMSGS business rule is "Y", the I0011 standard warning message is only displayed for children under the age of five (5) who are not eligible to receive benefits.

If the DSPCHILDRENUNDER5CHECKSNOTELIGIBLEMSGS business rule is "Y", the I0012 standard warning message is only displayed for children under the age of five (5) who are not eligible to receive benefits.

If the CheckForHouseholdLock parameter value is 1 (not locked), no other user is currently attempting to issue benefits and the Issue Benefits screen will display. Once the Issue Benefits screen is closed, the UnlockHousehold parameter is called and marks the HouseholdLock row as Benefits Issued.

If the CheckForHouseholdLock parameter value is 2 (locked), another user has clicked Issue Benefits for a participant in the same household and the Issue Benefits screen is still open. The system will display a standard warning message informing the user that benefits cannot currently be issued because another user is issuing benefits to somebody in the household. Retry and Cancel buttons will be available. If the user selects Cancel, the benefit issuance will be aborted. If the user selects Retry, another call to CheckForHouseholdLock will be made.

If the CheckForHouseholdLock parameter value is 3 (not locked, but benefits issued today), the Issue Benefits screen will be displayed and a call will be made to ParticipantManager.GetMember to refresh the Member object.

The Issue Benefits screen displays when selected if the user has the appropriate permissions and all edits are satisfied.

Determine the PFDTU

When the Issue Benefits process is started, the system determines if the certification effective date is after the originally calculated PFDTU. If it is, and if the CLN_PromptForPFDTUAdjustment business rule is set to "Y", the Multiple PFDTU Dates Available screen displays to allow the user to adjust the original PFDTU to the originally calculated PFDTU if necessary.

Mid-certification Assessment

Mid-certification Assessment

Click this toolbar button to begin a mid-certification assessment. The toolbar button is enabled when the screen is active and a mid-certification assessment is due. It has a tool tip text of "Mid-certification Assessment".

The system displays the C0072 standard confirmation message. The options of Yes and No are available. If the user clicks Yes, the system begins a new mid-certification assessment. The Participant Folder is completely disabled, the system sets the start date on the MidCertification table to the current system date. If the user clicks No, a mid-certification is not started.

If a mid-certification assessment was in progress, the system displays the Mid-certification Assessment screen with the previously completed links checked.

The Mid-certification Assessment screen displays when clicked if the user has the appropriate permissions and all edits are satisfied.

Close Participant Folder

Close Participant Folder

Click this toolbar button to close the Participant Folder screen. The toolbar button is enabled when the screen is active. It has a tool tip text of "Close Participant Folder".

When the toolbar button is selected, depending on the screen of the Participant Folder currently displayed, the required entry edits and cross-edits for the controls on the screen are performed. These edits are defined in the respective sections for each screen.

The Participant Folder screen is closed and the Participant List screen displays in its previous state when the toolbar button is clicked if all edits are satisfied. When the participant whose folder was opened still remains on that view of the Participant List screen, their record will be selected in the data grid.

Exit

Exit

Click this toolbar button to exit the application. This toolbar button is enabled when the screen is active. The toolbar button has a tool tip text of "Exit".

If the toolbar button is selected and the user has an open folder where updates are being made, the standard edits defined here are displayed.
