The Participant List menu provides access to functions that apply to the Participant List data grid on the Participant List screen.
The Participant List menu is visible and enabled when:
The Participant List screen is active.
It has a mnemonic of "P".
If you do not have sufficient permission to access a menu option on the Participant List menu, a standard error message (E0006) displays when the menu option is selected.
Unless otherwise stated below, all menu options on the Participant List menu are visible and enabled when:
The Participant List menu is active.
If one or more special conditions exist that affect a menu option on the Participant List menu, the condition(s) are documented for that specific menu option below.
Acquire All Missing External IDs menu option
Select this menu option to connect to an external program interface to import missing IDs into SPIRIT and update SPIRIT tables with the imported information.
The menu option is enabled when:
The value of the EXTERNALUPDATESENABLED business rule equals "Y".
It has a mnemonic of "A".
A connection to the external program interface currently configured for your WIC program is established and all missing IDs are imported into SPIRIT when the menu option is selected.
Toggle On-site menu option
Select this menu option to mark the client currently selected in the Participant List data grid on-site or off-site. The menu option is enabled when the On-site, Clinic, or Appointments for Today view of the Participant List screen is displayed and a record is selected in the Participant List data grid.
It has a mnemonic of "T".
The menu option is disabled when the Statewide view of the Participant List screen is displayed, when the Participant List data grid is empty, or when no entry is selected in the Participant List data grid.
When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.
The Toggle On-site screen displays when the menu option is selected.
Initial Contact menu option
Select this menu option to record an initial contact for the client currently selected in the Participant List data grid.
The menu option is enabled when:
The initial contact is added on the current system date.
A record is selected in the data grid.
It has a mnemonic of "I".
The Initial Contact screen displays when the menu option is selected.
Only one initial contract record can exist with no certification ID. If a record has previously been saved but no certification ID has been created, a standard error message (E0369) displays when the system attempts to write to the initial contact table.
Schedule Appointment menu option
Select this menu option to schedule an appointment for the client currently selected in the Participant List data grid. The menu option is enabled when the On-site or Clinic view of the Participant List screen is displayed and a record is selected in the Participant List data grid.
It has a mnemonic of "S".
The menu option is disabled when the Statewide or Appointments for Today view of the Participant List screen is displayed, when the Participant List data grid is empty, or when no entry is selected in the Participant List data grid.
When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.
The Select Appointment to Schedule screen displays when the menu option is selected.
Mark Appointment as Kept menu option
Select this menu option to indicate that the client currently selected in the Participant List data grid kept their appointment for today. The menu option is enabled when the Appointments for Today view of the Participant List screen is displayed and a record is selected in the Participant List data grid.
It has a mnemonic of "K".
The menu option is disabled when the On-site, Clinic, or Statewide view of the Participant List screen is displayed, when the Participant List data grid is empty, or when no entry is selected in the Participant List data grid.
When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.
The Participant List data grid refreshes and the selected appointment is marked as kept when selected.
If the selected appointment is not a group education class, the system will set the Appointment.AppointmentKept value to "Y".
If the selected appointment is a group education class, the system will set the ClassEnrollment.EnrollmentKept value to "Y".
Create New Member menu option
Select this menu option to create a new household member within the household currently selected in the Participant List data grid. The menu option is enabled when a search has been performed on the On-site, Clinic, or Appointments for today view of the screen and a record is selected in the Participant List data grid.
It has a mnemonic of "M".
The menu option is disabled when the Statewide view of the Participant List screen is displayed, when the Participant List data grid is empty, or when no entry is selected in the Participant List data grid.
When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.
The Applicant Prescreening screen displays when the menu option is selected..
When the Applicant Prescreening screen displays, common demographic information is automatically populated using the demographic information of the participant that was selected in the data grid when the menu option was selected.
Create New Household menu option
Select this menu option to create a new household within the system for the applicant and create a folder for the applicant.
It has a mnemonic of "H".
When the menu option is selected, a check is performed to determine whether the logged-on user has the appropriate permissions to access the screen or perform the action. When the user does not have the appropriate permissions, a standard error message (E0006) displays.
The Applicant Prescreening screen displays when the menu option is selected.
Open Participant Folder menu option
Select this menu option to open the Participant Folder for the client currently selected in the Participant List data grid.
The menu option is enabled when:
A record is selected in the data grid.
It has a mnemonic of "P".
When the Open Participant Folder menu option is selected, a check is performed to determine the folder is already opened for the current member ID. If the folder is already opened for the current member ID, a standard error message (E0365) displays.
If no alerts exist, the Participant Folder screen displays when selected if the user has the appropriate permissions and all edits described below are satisfied.
If an individual alert exists for the client or a household alert exists for any member of the client's household, the Display Alerts screen displays when selected if the user has the appropriate permissions and all edits described below are satisfied. The Participant Folder screen displays when the Display Alerts screen is closed.
Check Permissions to Open the Folder
A check is performed to determine whether the logged-on user has View-level permission or better for the following features:
Demographics, Height/Weight Blood, Risk Factors, Nutrition Education, Income History, Referrals, Benefit issuance, Food Prescriptions, SOAP Notes, Breastfeeding Notes, General Notes, Nutrition Assessment History, Health Information, Immunizations, Breastfeeding Contacts, Breastpump Management, and Certifications.
If the user does not have View-level permission for at least one of the features, a standard error message (E0006) displays. When the standard error message is dismissed, focus is returned to the Participant List.
If the user has View-level permission for any of the features, the Open Participant Folder process continues.
Check for Duplicate Participant
If the participant selected in the Participant List is a duplicate participant, a standard information message (I0069) displays. The option of OK is available. In the Clinic application module, when the standard information message is dismissed, focus is returned to the Participant List. In the State Office application module, when the standard information message is dismissed, the open participant folder process continues.
Check for Participant Transfer
When the edits are completed successfully, if the participant selected on the Participant List is assigned to a clinic and/or agency other than the one that was selected in the Clinic drop-down list box on the Location screen during the login process and the participant is not a duplicate participant, a standard confirmation message (C0001) displays. If the user selects the No button on the standard confirmation message, the standard confirmation message is dismissed and focus is returned to the Participant List screen. If the user selects the Yes button on the standard confirmation message, the transfer process continues as documented in the Check Permissions to Transfer a Participant section below.
If the participant selected in the Participant List is assigned to a clinic and/or agency other than the one that was selected in the Clinic drop-down list box on the Location screen during the login process and the participant is a duplicate participant, a standard information message (I0069) displays. The option of OK is available. When the standard information message is dismissed, focus is returned to the Participant List.
Check Permissions to Transfer a Participant
A check is performed to determine whether the logged-on user has full permission for transferring participants between clinics. If the user does not have full permission (ParticipantTransfer.FullControl) to transfer a participant between clinics, a standard error message (E0006) displays. The option of OK is available. When the standard error message is dismissed, focus is returned to the Participant List.
If the user has full permission (ParticipantTransfer.FullControl) to transfer a participant between clinics, the Transfer Participant(s) screen displays.
Check for Enabled Electronic Benefit Transfer (EBT) Food Delivery System
When the edits are completed successfully, a check is performed to determine whether the Electronic Benefit Transfer (EBT) food delivery system is enabled for the clinic.

If the Electronic Benefit Transfer (EBT) food delivery system is enabled for the clinic, a standard information message (I0014) displays. When the OK button on the standard information message is clicked, the EBT Household Demographics screen displays.
If the EBT Household Demographics screen is canceled, or the demographics information cannot be transmitted successfully, the Transfer Participant process is terminated, the Open Participant Folder process is terminated, and a standard error message (E0053) displays. When the standard error message is dismissed, focus is returned to the Participant List screen.
If the EBT Household Demographics screen is processed and the demographics information is transmitted successfully, the Transfer Participant process continues.
If the Electronic Benefit Transfer (EBT) food delivery system is not enabled for the clinic, the Transfer Participant process continues.
Transfer Participant
When the edits are completed successfully, the assigned clinic for the selected participant is changed to the clinic that was selected on the Location screen during the log on process, the Open Participant Folder process continues.
Check for Participant and Household Alerts
When the Participant Folder screen is displayed, a check is performed to determine whether alerts exist for the participant or her household:
If no alerts exist, the Participant Folder screen displays.
If alerts exist, the Check Permissions to View Alerts process begins.
Check Permissions to View Alerts
A check is performed to determine whether the logged-on user has permissions for viewing alerts. The following processes are repeated for each alert depending on its type:
For a protected Alert:
If the user has the ProtectedAlert.View permission, the Display Alerts screen is displayed, and the alert is added to the Alerts data grid, or, if the screen is already displayed, the alert is added to the Alerts data grid.
If the user does not have the ProtectedAlert.View permission, the Display Alerts screen is not displayed, or, if the screen is already displayed, the alert is not added to the Alerts data grid.
For an unprotected alert:
If the user has the Alert.View permission, the Display Alerts screen is displayed, and the alert is added to the Alerts data grid, or, if the screen is already displayed, the alert is added to the Alerts data grid.
If the user does not have the Alert.View permission, the Display Alerts screen is not displayed, or, if the screen is already displayed, the alert is not added to the Alerts data grid.
