Defining Holidays

In this section of the Building a Business Calendar for a Clinic scenario, you will use the Mark Day as Holiday screen to define holidays for a clinic. The Mark Day as Holiday screen allows an undefined calendar day to be defined as a holiday. The reverse is also true: the screen allows a day defined as a holiday to once again be an undefined calendar day.

When building a business calendar for any clinic, it is important to define the holidays observed by the clinic first. This prevents the possibility of accidentally defining a day on which no employees are scheduled to work at the clinic as a business day with business hours, resources, and group education classes. So, ensure that all days that should be defined as holidays are defined as holidays before moving on to the next task.

NOTE: A day on which the clinic will be closed for any reason should be defined as a holiday, whatever the occasion may be.

Complete the following steps to perform this scenario:

To begin this scenario: The Build Clinic Calendar screen should be displayed. For more information see the Display the Build Clinic Calendar Screen scenario.

NOTE: The Build Clinic Calendar screen can be displayed as shown in scenario the Display the Build Clinic Calendar Screen scenario, but it can also be displayed by first displaying the Participant List screen, and then clicking Build Master Calendar on the Activities menu.

1.        Select a Clinic for which to define holidays.

2.        Select the Date (month) and (year) for which to define a holiday.

3.        On the clinic calendar, click the specific day to define as a holiday.

4.        Click the Toggle Day as Holiday toolbar button (pictured below). The Mark Day as Holiday screen displays.

Note

NOTE: A day in the past cannot be defined as a holiday, only the current day or a future day can.

5.        Select the Mark Day as Holiday check box.

Note

NOTE: This same process can be used to clear a day defined as a holiday. If the Mark Day as Holiday check box is unchecked, the day is returned to the state of an undefined calendar day when the screen is processed.

6.        Enter a Description for the holiday.

NOTE: Check the Apply to All Clinics check box to mark the day as a holiday for all clinics.

7.        Click OK.

Repeat this process, as necessary, until all days on which the clinic will be closed have been defined as holidays. All days defined as holidays are displayed in red in the clinic calendar.

Congratulations! You've defined a holiday for the clinic (or clinics).
