This setup guide is intended to prepare a State for utilizing the new Vendor functionality. In order to fully take advantage of the new Vendor module, each of the sections listed below must be completed.
Pre-Test Note:
Before Release 2.14 is installed in TEST and PRODUCTION, some old databases may have the compatibility level set to 80 which will cause the new code to fail in Release 2.14. You must change database_to_upgrade to the name of the database the script is being run against. This script requires System Administration level permissions and is not a part of the automatic SQL upgrade script. The change to the database script is as follows:
ALTER DATABASE "database_to_upgrade" SET COMPATIBILITY_LEVEL = 100
For build version 2.14.11196.1856 and beyond.
The Vendor application now allows users to create their own custom templates for letters. On the Vendor List screen, The Manage Custom Letters menu option on the File menu provides users with a list of Custom Template Merge Fields to be used on the templates. Within this new functionality, users are also able to utilize the e-mail and fax capabilities referenced in Management Console Setup.

A Vendor Manager's signature can be merged into letters and mail merged documents, by utilizing the Capture Vendor Manager Signature and then adding it to the Custom Letters.

The Vendor Authorization functionality allows the user to setup a guided script for authorizing a Vendor. Users can setup the Priority, Event and Follow-up for each step via this portion of the application. This is not a required function.

This functions the same as Maintain Corporate Owners, in Reference Utility. Users can review their converted Corporate Parents/Corporate Owners data.

Manage Geographic Areas allows States to group Vendors by geographic area. Vendors can be grouped either by ZIP/Counties, or by Custom Defined Areas.

With the new vendor application design, there is a series of sub-tabs that were added to the event log tab in the vendor folder. Events and follow-up activities can be grouped to display on the sub-tabs. Not all States want to see the same groupings, depending on how their vendor management department functions. This provides the means of establishing which events and follow-up activities appear on each of the vendor event log sub-tabs.

The Closing Triggers allows users to maintain closing activities for events logged within the vendor folder.

The objective of the Food Price Multiplier is to provide a means of estimating/calculating food distribution item prices using a price multiplier rather than requesting a vendor to submit prices for all purchase sizes of the same product. For example, if a vendor submits the price for one gallon of whole milk, the new price multiplier functionality would allow the user to apply a multiplier to the price of a gallon of milk to calculate the estimated price of a half gallon or quart of milk for that vendor.
This only applies to pricing at the food distribution item level. It will not apply to UPC level pricing.

This new concept provides Vendor Managers a way of including named items of different sizes on a price survey template without going to the extent of implementing UPC level items. The set up of retail items is accomplished through the Manage Retail Items menu item.

Corporate parent zones are used to group vendors so that a corporate parent has the ability to send one price survey response and have it applied to all vendors in the specified zone. Zones are set up as an administrative function. Each zone is given a name and vendors are assigned to each zone. Once the zone/vendor relationships are established, there should be minimal maintenance required to take advantage of the zone functionality in the application.

Communication Templates are provided as a way to tailor the subject and body of e-mail communications going out to vendors and corporate parents from the vendor application. Typically, this set-up function is done initially just after the new vendor application is implemented and then only periodically after that whenever the subject or body of an e-mail needs to change.

The Manage Online Application Parameters dialog collects data on the parameters that determine the look and edits for the pages of the Vendor Online Application. Users can determine which fields they want on the following pages of the Online Application:
Business Information
Owner Information (Corporation)
Owner Information (Partnership)
Owner Information (Sole Proprietorship)
Store Information
Wholesaler Information

The Manage Above 50% Vendors functionality provides the user a way to manually set the above 50% indicator on a vendor’s record. Vendors whose annual WIC food sales is more than 50% of their total food sales will be highlighted to show that the system has determined them to be candidates to be manually added to the above 50% group. At the vendor management staff’s discretion, any vendor may be added to the above 50% group regardless of the percentage of sales calculated by the system.

Vendor Managers have the ability to set variables for determining which Vendors should be assigned to which Peer Groups. Users can chose not to take the recommended Peer Group.

The Peer Group Reassessment function allows a Vendor Manager the ability to do a mass reassessment of vendor peer groups - notify only those vendors whose Peer Group will change.

The High Risk Criteria for Vendors are initially seeded. It is the Vendor Managers responsibility to review the Values to ensure they meet the States requirement for High Risk Vendors. Columns of white denote areas where data can be changed.
