DFDD Changes Database Changes

EBT Card History

An error displayed on the EBT Card History screen in Montana's environment if the most recent card history record that existed for a household in the SOAR EBT Processor system was older than 180 days (because 180 days was the limit that was set for EBT card history in the SOAR EBT Processor system).

Within the SPIRIT WIC system, the screens listed below were modified to show any recorded and/or cancelled signature records that exist for a household in the Card History data grid even if no associated card history records have been recorded in SPIRIT or are available within the EBT Processor system for a household:

  • EBT Card History (Central Administrative Site)

  • EBT Card History (Clinic)

  • EBT Card History (State Office)

Additionally, a new Informational Text value label was added to the screens listed above.

The new Informational Text value label is visible when the most recent card history record created for the household in the SOAR EBT Processor system is past the card history date range currently specified within SOAR. When visible, the value label displays the following text:

"Card History records within the date range could not be loaded from the EBT Processor system."

EBT Household Change Guided Script

When completing the EBT Household Change Guided Script and assigning a new card, the new card was added to the old household's record instead of the new household's record.

The SPIRIT WIC system was modified as follows:

  • The mParticipant object in the EBT Household Change Guided Script is now being reset after the Remove Cards step during the process.

  • An empty data set that occurred when no cards were returned but signatures existed was corrected.

Return and Recover Formula

When recovering and/or returning formula to issue infant foods, the correct amount of formula could not always be returned or recovered on the Return and Recover Formula screen.

The SPIRIT WIC system was modified to cache food item limits as local reference data and to use food item limits instead of base food category limits for all distribution type formula items to calculate the amount needed to enable on the Return and Recover Formula screen in the Clinic application module. For even distribution (full packages), the rounding applied to the food item limit is floor (in other words, if it is 1.9, or 1.8 or 1.5 or 1.4, it is rounded down to the nearest whole number (which is 1)).

Note

NOTE: Food item limits are cached as local reference data. When a food item limit is updated and saved on the Food Items Limits screen in the Reference Utility application module, users must reset and/or update local reference data on their local client machines.

Complete the following steps to reset and/or update local reference data:

1.        Log in to the SPIRIT WIC system.

2.        Right-click on the WIC Session Manager icon in the Windows System Tray.

3.        To update local reference data, select the Update Local Reference Data menu option from the menu that displays.

OR

To reset local reference data, select the Reset Local Reference Data menu option from the menu that displays.

DFDD Changes

Food Adjustment Wizard

The correct amount of formula could not always be issued within the Food Adjustment Wizard.

During food adjustment, the SPIRIT WIC system was modified to retrieve the actual food package size to determine the proration amount of Full, ¾, ½, or ¼ using the previous issuance instead of calculating the food package size based on the FDTU and LDTU of the benefit period. This change corrects the food package sizes in special circumstances (for example, if a participant receives a late pickup halfway through the benefit period) when performing a food adjustment using the following radio buttons on the Food Adjustment Wizard screen in the Clinic application module:

  • Change a Food Already Issued

  • Add More Formula

  • Add Infant Solid Foods

Note

NOTE: For more information about how food package sizes are determined, refer to the Prorate package sizes based on cycle-adjusted sets or late pickup section of the Understanding Benefit Issuance topic.

EBT Household Change Guided Script

When the Reissue a Full Set of Benefits check box was checked on the Void/Replace Benefits for EBT Account screen during the EBT Household Change Guided Script process, current benefits were not correctly voided and a full benefit set was not issued as expected when the EBT Household Change Guided Script process was completed.

The SPIRIT WIC system was modified to bypass the validation of already-issued benefits when the Reissue a Full Set of Benefits check box is checked on the Void/Replace Benefits for EBT Account screen during the EBT Household Change Guided Script process.

DFDD Changes

Change Household ID

The Find Existing Household and Create New Household buttons were not disabled appropriately on the Change Household ID screen.

The EBT Household Change Guided Script screen in the Clinic application module of the SPIRIT WIC system was modified as follows:

  • When the Remove Cards step is completed and the check box next to the Remove Cards link is checked, a standard information message E0081 now displays when the link is clicked again.

  • When the Review New EBT Household Demographics step is completed and the check box next to the Review New EBT Household Demographics link is checked, a standard information message E0081 now displays when the link is clicked again.

  • The textual label of the Cancel button now changes to "Close" when all processes on the screen are completed. This provides the user with a visual cue that all processes on the screen are complete.

Note

NOTE: Once a step is completed and the check box next to a link is checked on the screen, you are unable to click the link again and attempt to complete the process a second time.

The Change Household ID screen in the Clinic application module of the SPIRIT WIC system was modified as follows:

  • The Find Existing Household button is now disabled when an existing household is previously selected in the Households data grid and the OK button is clicked on the Select Existing Household screen or information is entered and the OK button is clicked on the Create New Household screen.

  • The Create New Household button is now disabled when an existing household is previously selected in the Households data grid and the OK button is clicked on the Select Existing Household screen or information is entered and the OK button is clicked on the Create New Household screen.

  • The textual label of the Close button now changes to "Cancel" when the screen initially displays and only changes to "Close" when all processes on the screen are completed. This provides the user with a visual cue that all processes on the screen are complete.

Note

NOTE: Once a household is specified using either the Find Existing Household or the Create New Household buttons on the screen, you are unable to click the buttons again and attempt to complete the processes a second time.

NOTE: Food item limits are cached as local reference data. When a food item limit is updated and saved on the Food Items Limits screen in the Reference Utility application module, users must reset and/or update local reference data on their local client machines.

Changes to the Appendix DFDD for TMP-316 are documented below.

In Appendix D, the following updates were made to the Messages Matrix:

  • Previously-undocumented Variant Text was added for the E0081 standard error message with the following text: "You have already completed this step. Please use the Food Wizard to make any further adjustments."

  • The E0237 standard error message was deemed a duplicate of the E0098 standard error message with this release. A note was added to the E0237 standard error message to indicate that it was merged with the E0098 standard error message in Release 2.32.02. The E0237 standard error message ID will be repurposed for a future enhancement in a future release.

  • The E0098 standard error message was updated as follows:

  • The E0237 standard error message's Message Text was added as new Variant Text with the following text: "A set of benefits cannot be added or replaced for this participant. Currently there are no outstanding benefits to replace and the Expected FDTU of the additional set is past the Certification End Date."

  • The E0237 standard error message's Message Trigger was added with the following text: "No outstanding benefits are available to be added or replaced or the FDTU of the additional set is after the Certification End Date when the Add/Replace Set of Benefits menu option is selected on the Benefit Management menu."

  • Previously-undocumented Variant Text was added with the following text: "There are no benefits to issue because there were no benefits voided from the old Household."

  • A new Message Trigger was added with the following text: "If no benefits were eligible to be removed from the previous household and as a result no benefits are available to be reissued to the new household when the Add Benefits to New Household link is clicked on the EBT Household Change Guided Script screen."

  • The I0021 standard information message was updated as follows:

  • Previously-undocumented Variant Text was added with the following text: "There are no benefits eligible to be removed."

  • A new Message Trigger was added with the following text: "No benefits are available to be voided or removed."

  • A previously-undocumented I0093 standard information message was added as follows:

  • Message Text: "There are no cards to remove because there was no EBT account."

  • Message Trigger: "No Electronic Benefit Transfer (EBT) account currently exists for the household when the Remove Cards link is clicked on the EBT Household Change Guided Script screen."

Changes to the Clinic DFDD for TMP-316 are documented below.

The following changes were made to the EBT Household Change Guided Script screen topic:

  • A new Close button was added to the Interface Initialization section.

  • The following changes were made to the Screen Elements section:

  • The entire EBT Household Change Guided Script group box was rewritten to be more clear and concise and also to document all of the processes that currently occur in the Clinic application module when each link is clicked on the EBT Household Change Guided Script screen.

  • The Cancel button was modified to indicate that it is not visible when all processes on the screen have been completed successfully.

  • A new Close button was added.

The following changes were made to the Change Household ID screen topic:

  • The screen clip image was updated to depict the new default view of the screen.

  • A new Cancel button was added to the Interface Initialization section.

  • The following changes were made to the Screen Elements section:

  • A new Cancel button was added.

  • The Close button was modified to indicate that it is visible only when all processes on the screen have been completed successfully.
