Appointment Notice (Output)

The Appointment Notice (Output) can be generated to notify a client of an appointment that she is scheduled to attend. The appointment notice can be generated on demand, or it can be queued for generation at a later time.

An appointment notice can be produced: On demand at the time an appointment or appointments are scheduled; in batch for all appointment notices queued for later production; or on demand for a selected appointment or group education class enrollment from the Appointments screen in the Participant Folder, the Appointments for Today view of the Participant Folder, or the View Appointments for Date screen.

Merged fields within the letter text are represented in this document by descriptive text within square brackets ([ ]). Each merged field will print as its literal value, except where noted.

Data Elements

This section describes the data elements that print on the system output. Because of space constraints, the layout may be slightly different and/or all characters may not print within the space allotted.

ClinicName (Letter Format)

Origin of Data Element

The value will be taken from ServiceSite.ServiceSiteName.

The value will print as its literal value.

ClinicAddressLine1 (Letter Format)

Origin of Data Element

The value will be taken from ServiceSite.Address.

Format

The value will print as its literal value.

ClinicCity (Letter Format)

Origin of Data Element

The value will be taken from ServiceSite.City.

Format

The value will print as its literal value.

ClinicST (Letter Format)

Origin of Data Element

This value is taken from the state code defined in the system registry.

Format

The value will print as its literal value.

ClinicZIPCode (Letter Format)

Origin of Data Element

The value will be taken from the ServiceSite.ZIPcode.

Format

The value will print in #####-#### format.

FirstName (Letter Format)

Origin of Data Element

The value will be taken from the Member.FirstName.

Format

The value will print as its literal value.

LastName (Letter Format)

The value will be taken from the Member.LastName.

Format

The value will print as its literal value.

StateWICID (Letter Format)

Origin of Data Element

The value will be taken from the Member.StateWICID.

AppointmentDate

The value will be taken from the Appointment.AppointmentDate.

Format

The value will print in {textual name of day of week}, {textual month} {day}, {year} format.

AppointmentTime

Origin of Data Element

The value will be taken from the Appointment.AppointmentTime.

Format

The value will print in HH:MM {AM/PM} format.

ClinicTelephone

Origin of Data Element

The value will be taken from the Agency.Telephone.

Format

The value will print in the format ###-###-####.

Filter Criteria

Selected Appointment (On Demand)

An appointment notice document will be generated for the appointment(s) scheduled by the system or selected from the Appointments tab of the Participant Folder, or from the View Appointments for Date screen.

Appointments Occurring on a Future Date (Batch Production)

An appointment notice document will be generated for appointments with an appointment date equal to or greater than the current system date.

Appointments Queued for Later Production (Batch Production)

An appointment notice document will be generated for appointments with the Appointment-Queued-Appointment-Notice-Flag set.

Sort Order

Full Name

The appointment notice documents will print in alphabetical order by last name and first name.

Control Breaks

Appointment

A page will be generated for each appointment included in the document production.
