Searching for a Client

In this scenario, you will use the Participant List screen to search for a client. A client can be either a WIC applicant or participant. A WIC applicant is an individual who is applying for participation in the WIC program. A WIC participant is an individual who has been certified for participation in the WIC program and receives benefits. Both applicants and participants can be located using the Participant List screen.

Complete the following steps to perform this scenario:

1.        Display the Participant List screen.

NOTE: The Participant List data grid displays clients as determined by the search criteria applied to the data grid. Click a client record in the data grid to select it.

2.        Under Where to Search, select one of the following radio button to indicate which view of a database to search:

  1. Appointments for Today - Select this radio button to indicate that only clients who have appointments scheduled for the current date at the Clinic of Operation should be included in the search.

  2. On-site - Select this radio button to indicate that only clients who have been identified as being present at the Clinic of Operation should be included in the search.

  3. Clinic - Select this radio button to indicate that only clients assigned to the Clinic of Operation should be included in the search.

  4. Agency - Select this radio button to indicate that only clients assigned to the current agency should be included in the search.

  5. Statewide - Select this radio button to indicate that all clients in the state should be included in the search.

  6. External Data - Select this radio button to search an external data source for client data.

3.        Select one of the following radio buttons and complete the associated information:

NOTE: Depending on your WIC Program, the Social Security Numbermay not be available.

You can enter a partial name in First Name or Last Name to search for all clients whose name begins with the letters provided. (For example: to search for the records of clients whose last name begins with the letter "A," type "A" in Last Name.) Try to provide as much of the name as possible. The more letters provided, the more specific the search will be, and the less time it will take to complete.

Click Clear to clear and reset the search information as necessary.

4.        Click the Search button to apply the specified search criteria.

The content of the Participant List data grid is refreshed to display clients whose information matches the specified search criteria.

If information is entered in the Last Name and First Name fields, the system will perform a Soundex search on the database. A Soundex search is a phonetic algorithm that compares names by sound, as pronounced in the English language. The Soundex search compares the first and/or last names entered as filter criteria with the records stored in the database, and results matching the Soundex search are displayed in the Participant List data grid.

If the client for which you are searching is not displayed in the Participant List data grid, you can repeat the steps above, as necessary, until the client is located or until all search options have been exhausted.

NOTE: Click the Show Details button to display additional information for a client selected in the Participant List data grid. If additional information is displayed, click the Hide Details button to hide the additional client information.
